Introduction
Let’s start by presenting the main activities:
- The Articles activity allows you to set up the catalog of sold and purchased items and to track inventory.
- The Contacts activity allows you to set up customers and vendors. It allows you to record a deposit and track the balance.
- You can enter sales and purchases in the activities of the same name.
- As soon as a sale is validated, the application generates a ticket with all the details: the total amount, the change given, the customer name.
- All receipts are in the Tickets activity, which includes: sales, purchases, stock movements (inputs, outputs and inventory) and account payments.
Articles
From the Articles activity you can create, edit and delete articles.
To import multiple articles with an excel/csv/json file, go to: Menu → Import data.
Demo videos:
A basket of goods allows you to group multiple items into a single item.
Example: a very sweet coffee basket composed of one dose of coffee and x3 sugars of x25g.
It is possible to apply a discount on the total price of a basket.
Stock
Let’s take kola nuts for example. Imagine you have 300 colas in the store.
To sell them more easily, offer different retail prices: per unit, per set of 6, per set of 100.
To reconcile inventory in the application: create a single kola nut item, then create sub-articles in this item. During the sale, select the right packaging (unit, x6, x100).
The app will automatically calculate the total remaining stock.
To set up initial inventory or correct a stock level, go to the Inventory, Stock input or Stock output views.
A purchase records an expense and a stock input. A sale records a receipt and a stock output.
The Stock dashboard displays movements by day, month and over a given period.
It is possible to filter these statistics over a time slot (e.g. between 12 noon and 6 pm).
Sales
To enter a sale, add at least one item to the cart.
- A short press adds x1 unit.
- A long press adds a large amount (e.g. 100) or with a comma (e.g. 1.5).
- Then press the arrow at the bottom right to move to the next screen.
The cart view allows you to change the quantity of items put in the cart.
- Slide the item horizontally to remove it from the cart
- Change the quantity with a long press
- Press the remove button to empty the entire cart
Selecting a customer allows you to offer them to pay on credit and to keep track of their purchases.
To access the selected customer’s details, use the long press.
If no contact is selected, the sale will be recorded on a passing customer.
Cash: Choose the ‘cash’ payment method and validate. Enter the amount received, the application calculates the change to return.
Electronic: The transaction is made outside of Weebi but will be dissociated from cash receipts.
On credit: By default, credit sales are unlimited. It is possible to set a maximum overdraft per customer.
Tickets
Contacts
You can create, edit and delete contacts from the Contacts activity.
To import multiple contacts with an excel/csv/json file, go to: Menu → Import data.
If the customer balance is insufficient, the customer cannot buy on credit.
To increase the customer’s balance, make a payment from the contact file. A recorded credit sale decreases their balance.
To limit debts, you can set up a maximum allowable overdraft per customer.
Balance = deposits - credit sales + overdraft allowed
Accessories
The Weebi app can connect with a Bluetooth thermal printer on iOS and Android.
Accents and special characters are not supported by thermal printers — avoid using them when naming items in the catalog.
Synchronization
Weebi works offline but will soon allow you to back up your data online.
In the meantime, we recommend making regular backups from: Menu → Export data.
Web Console and license payment
The Weebi web console allows you to administer your firm and manage license payment.
Log in at webapp.prd.weebi.com to create an account, manage your stores, users and subscribe to cloud plans.
